May 2018 Board of Directors Meeting

The May 2018 Board of Directors Meeting will be held on Monday, May 28, 2018 in the gym at 6:00pm.

At the April Meeting

At the April Board meeting the Board approved to have AT&T  provide a plan to rewire the whole building for faster internet at no cost to the Association, the security committee has already met and are looking into some great things for the Association to present to the Board.

Spa Update

The spa work is almost completed. Thank you for your patience while this was resolved.

5 Yr Fire Sprinkler Inspection

Columbia Place is due for the 5yr fire sprinkler inspection this year. ALL UNITS will need to be entered on the scheduled date of either May 21st or 22nd. Please make sure to notify Management if you will be home, provide a key AND key waiver or a neighbor will be proving access.

If you are an Owner and would like an opportunity to be on the Board please remember to fill out the Candidate Statement and send back to Management by 5pm on May 4th to be included on the ballot.

Have you signed up for Vivo Portal at yet?  Vivo is a great tool to track your statement, submit work-orders, and report non-compliances – in live time!  You can also update your information, such as email changes or mailing address.   This automatically updates in Management’s system without having to go through the middleman.  If you have not already registered, you will need your account number.  This can be located on your statement beginning with “8103.”  The website is www.vivoportal.com.

Emergency Situation Protocol

In any type of emergency situation, maintenance or life threatening, do NOT email – PLEASE CALL!  Action and Action After-Hours can be reached at 949-450-0202.  If you are experiencing a water intrusion and have called it in, DO NOT LEAVE your unit even if it is a slow back up.  You may end up being responsible for damages due to negligence.  If there is anything that is life threatening, do not hesitate to call 9-1-1.

Rental Units

As a reminder, if you are renting your unit, you are required to submit the lease to management at kthomson@actionlife.com or to mplascencia@actionlife.com.  This allows us to update our communication system and get in contact with the appropriate parties in the event of an emergency.  As always, the CC&R’s require a minimum rental period of 30-days.  If you are found violating this, you may be subject to a hearing and fine.

Clean & Safe – (619) 234-8900

Residents are encouraged to call Clean & Safe if they notice homeless loitering at Columbia Place.  Clean & Safe will ask the homeless to leave and provide them locations of shelters.  Additionally, if residents notice graffiti, broken glass, garbage on the sidewalks around the community on a day where Boiling Maintenance is not onsite, these things can also be reported to Clean & Safe.  This is an initiative by the City of San Diego that all downtown residents pay for via property taxes, take advantage of this to keep the area “clean and safe!”

April 2018 Board of Directors Meeting

The April 2018 Board of Directors Meeting will be held on Monday, April 23, 2018 in the gym at 6:00pm.

At the March Meeting

At the March Board meeting a security committee was formed, 2017 review was approved and will be mailed out to the Owners and repairs to approved for a deck. AD Magellan, the project Manager, was also in attendance to update the members about the progress of the project.

Spa Update

The Association has obtained the permit required by the city and at the latest work will begin on the spa on the ninth. The work should take around three weeks.

5 Yr Fire Sprinkler Inspection

Columbia Place is due for the 5yr fire sprinkler inspection this year. Please be on the lookout for dates and times that inspections will be occurring in your unit. If you think you will not be able to be home you can provide the Association with a key to enter. ALL UNITS will need to be entered.

Did you know that all dogs, cats and domesticated birds be registered with the Community

by filling out the OTOI form and providing to Management. Dogs must also be registered with the city of San Diego and License number provided to Management on the OTOI Form.

Dog Barking Reminder

While we are a dog-friendly building, as a reminder, residents are entitled to quiet enjoyment of their units.  Please take the necessary measures to limit barking when in the unit and in common areas.  Barking can be considered a nuisance, which is a violation of the governing documents.  Work with our furry companions to make Columbia Place an enjoyable living space for all!

The disposal may grind it, but Columbia Place’s pipes cannot handle grease, scraps, cornhusks, egg shells, peels (apples, carrots, etc.), oils/butters, excessive soap, coffee grounds, or rice. Moreover, since condos are stacked, a drain issue in one condo likely impacts those above/below. Please remember – and ask cleaning staff to remember – to avoid the items listed to help keep Columbia Place’s drains flowing.

January 2018 Board of Directors Meeting

Spa Status

The Board and Management are working diligently on opening the spa back up. Recent requirements by the city are what is holding us up at this time and Management is working with them as fast as possible to resolve. Thank you for your patience.

Holiday Tree Disposal

The Association’s scheduled date to dispose of Christmas trees are Friday, January 5th and January 19th. Please have trees placed in the designated spot prior to this day to ensure pick-up.

The Winners Are…

The winners of the holiday door and balcony decorating contest are units 204, 305, 405 and 406! Congratulations and thanks to everyone who participated! Please contact Management to claim your prize.

Trash Chute & Recycling Etiquette

Please do not dispose of boxes of large items down the trash chute. Boxes and large items must be carried down to the trash room or recycle bin to be properly disposed of.  It has also been noted that boxes are not being flattened before disposing off in the recycle bin.  Please be courteous to your neighbors by flattening your boxes so more space is available. This will also prevent overflow and recyclables being thrown into regular trash.  Additionally, recyclables should not be left in front of Leone’s office or on top of the recycle bin to be broken down.  This is the individuals’ responsibility to break down – not the onsite staff or your neighbor!

January 2018 Board of Directors Meeting

The January 2017 Board of Directors Meeting will be held on Monday, January 22, 2018 in the gym at 6:00pm. No Meeting will be held in December.

Holiday Schedule

In observance of upcoming holidays, Action Property Management and CityMark will be closed Friday, December 22, 2017 – Monday, December 25, 2017, as well as Monday, January 1, 2018. In the event of a maintenance emergency, such as a flood, please contact Action Property Management at 949-450-0202 or through www.viviportal.com.

Holiday Decorating

The holiday season is here and to show your holiday spirit, the Association will be conducting a front door and patio decorating contest!  The best decorated front door and patio will be eligible for a prize! Judging will take place on December 21st, so make sure to have your decorations up and ready.

The Association will schedule two dates to dispose of the holiday trees towards the end of December. Please be on the lookout for location of the tree drop off, dates and times.

Rental Leases

Per the Association’s Rules and Regulations, if you are renting your unit, please remember to send Management a copy of your lease. This information is necessary for many reasons, mainly for emergency purposes.  In the event of an evacuation, the authorities require us to have an updated list of who is in the building. By not providing your lease and tenant’s information, we will not know who to look for if there was an evacuation situation.  This information is kept confidential. Please remember to submit this information every time you have a new tenant!  You can submit to kthomson@actionlife.com  or mplascencia@actionlife.com.

The construction continues in the courtyards. Should you have any questions or concerns please email: myproject@admagellan.com and include “Columbia Place” in the subject line. A.D. Magellan will be happy to answer any questions or concerns in regards to the project.

Use of a garbage disposal in a stacked unit situation is much different than a single story home.  Please throw away your food into the garbage.  By putting foods down the disposal (rice, pastas, eggshells, etc.) this increases the chance of a backup in your unit or one below you – resulting in costly damage paid by all owners via monthly assessments and can affect the following years budget.

November 2017 Board of Directors Meeting

The November 2017 Board of Directors Meeting will be held on Monday, November 27, 2017 in the gym at 6:00 PM.

Thanksgiving Schedule

In observance of Thanksgiving, Action Property Management and CityMark will be closed Thursday, November 23, 2017 – Friday, November 24, 2017. In the event of a maintenance emergency, such as a flood, please contact Action Property Management at 949-450-0202.

Transponders

If you would like to purchase a transponder, the Association has them available for $40. Transponders can be read from a further distance and can open the garage gate without having to open your car window.

New Landscape

Starting November 6, 2017, Pacific Green Landscape will begin the plantings in the new water proofed planters and pots. During this time, they will have the some of the metered parking on Columbia St. blocked off during the day for staging

October 2017 Board of Directors Meeting

The October 2017 Board of Directors Meeting will be held on Monday, October 16, 2017 in the gym at 6:00 PM. Please note that this is one week earlier than the regularly scheduled meeting.

Car Thefts

Over the last few months, at least two vehicles parked outside of Columbia Place have been stolen. Please remember to take all valuable items out of your car and lock your vehicles at all times.

Window Washing – COMING!!

Upon completion of the renovation project, the windows at Columbia Place will be cleaned. Please stay tuned for dates.

Roof Access

Please remember when scheduling roof access for vendors, you must give 48 hours notice. To schedule these appointments please call Management at 800-400-2284 or email at kthomson@actionlife.com

Do you know?

Where can you find the Association’s open session meeting minutes, financial statements, governing documents, insurance certificate, and reserve study?

All of these documents are available to Owners through Action’s VivoPortal. Homeowners are able to sign up and easily access a wide variety of documents located in the “Association Documents” folder.  The Portal also provides homeowners the ability to access account information, view financial information, register for eStatements*, submit work orders, etc.  To setup an account, go to vivoportal.com and click the “Register a new Vivo account” located in the top right-hand corner.  You will need your 12-digit account number to register.

*E-statements cost the HOA $0.30 per unit, while hard copy billings cost $1.50 per unit. To save the HOA money, considering switching over to E-statements today!

Labor Day Holiday

Action Property Management and CityMark will be closed on Monday, September 4, 2017 in observance of Labor Day. Red Cart Usage

As a continual reminder, the red carts are for all resident use. Once you have transported your items, you must return the cart to the garage level by the elevators.  Additionally, if you are having work done on your unit, your contractor must also remember to return the carts once the transportation of goods is done. The carts cannot be kept at any unit for any reason.  Please also remember to clean any spills or debris.  Your neighbor will thank you!

August 2017 Board of Directors Meeting

The August 2017 Board of Directors Meeting will be held on Monday, August 21, 2017 in the gym at following the Annual Meeting which will begin at 6:00 PM.

Annual Meeting – TURN IN YOUR BALLOTS

In order for the Association to make quorum, please make sure to turn in your ballot. The scheduled meeting for July 24, 2017 did not meet quorum. The Annual meeting has been rescheduled to August 21, 2017. If you need a new ballot, please request one from Management.

Smoke Detectors

Smoke Detectors are part of every homes safety. As a reminder, you should change the batteries annually and test to insure that they are working properly.

A&D Fire Sprinklers will be onsite Tuesday, August 15, 2017 – Wednesday, August 16, 2017 to make repairs to the common fire protection systems.

 

Red Cart Usage

As a continual reminder, the red carts are for all resident use. Once you have transported your items, you must return the cart to the garage level by the elevators.  Additionally, if you are having work done on your unit, your contractor must also remember to return the carts once the transportation of goods is done. The carts cannot be kept at any unit for any reason.  Please also remember to clean any spills or debris.  Your neighbor will thank you!

Proper Use of Garbage Disposals

Columbia Place continues to experience kitchen sink back-ups. Use of a garbage disposal in a stacked unit situation is much different than a single story home.  Please throw away your food into the garbage.  By putting foods down the disposal (rice, pastas, eggshells, etc.) this increases the chance of a backup in your unit or one below you – resulting in costly damage paid by all owners via monthly assessments and can affect the following years budget.

Emergency Situation Protocol

In any type of emergency situation, maintenance or life threatening, do NOT email – PLEASE CALL!  Action and Action After-Hours can be reached at 949-450-0202.  If you are experiencing a water intrusion and have called it in, DO NOT LEAVE your unit even if it is a slow back up. You may end up being responsible for damages due to negligence.  If there is anything that is life threatening, do not hesitate to call 9-1-1.

Clean & Safe – (619) 234-8900

Residents are encouraged to call Clean & Safe if they notice homeless loitering at Columbia Place. Clean & Safe will ask the homeless to leave and provide them locations of shelters.  Additionally, if residents notice graffiti, broken glass, garbage on the sidewalks around the community on a day where Boiling Maintenance is not onsite, these things can also be reported to Clean & Safe.  This is an initiative by the City of San Diego that all downtown residents pay for via property taxes, take advantage of this to keep the area “clean and safe!
